Note: This article is from blogger Brian Tracy, who talks about the Pareto Principle and how it helps achieve success in various areas of personal and professional life.
In this article, we will explain this rule, why it is also called the Pareto principle, examples of how it is used in real-life situations, and how you can apply it in your life to achieve success.
What is the 80/20 rule?
The 80/20 rule, otherwise known as the Pareto principle, is one of the most useful concepts for managing life and time. It states that 20% of your activities will lead to 80% of the results you get. However, the Pareto principle is not a strict mathematical law; it is a concept.
The key to following the 80/20 rule is determining that approximately 20% of your most productive actions or tasks lead to the most success. This can apply to any area of your professional or personal life.
History of the Pareto Principle
Italian economist Vilfredo Pareto noted in the late 19th century that 80% of the pea harvest in his garden came from 20% of his pea plants. Based on his observation, Pareto found that 20% of the population of Italy owned 80% of a country's wealth, and this distribution of wealth is an example of the Pareto principle.
But the term “Pareto principle” was not coined by Pareto. Rather, Dr. Joseph Juran, in the forties of the last century, applied Pareto's observations to business process management and helped companies increase production by observing that 80% of defects in their products were caused by only 20% of the methods used in production.
Using Pareto notes, Juran focused on reducing these 20% of production problems to increase production quality. Juran called this strategy the "Pareto Principle" and popularized the idea that we should focus on the "vital few" and ignore the "unimportant many" to achieve great success.
Why is the Pareto principle important?
The Pareto principle helps you easily identify the areas on which you should focus your efforts and also helps you identify the important resources you should use to achieve greater efficiency. It also helps to save time, money, resources, efforts, energy, etc.
We all wish we had more time in our day to accomplish the things we want to do, so this rule helps you identify the things that are not important and focus on the 20% of the things that will help you achieve great success in the least possible time.
How does this rule work?
We often see people working a lot in a day but not achieving much, and the reason in most of these cases is that people waste their efforts on tasks of little value while procrastinating on one or two activities that may have a significant impact on improving their company or their career.
The highest-paying tasks are often the hardest and most complex, but the payoff for these tasks can be enormous, according to Pareto analysis. So before you start working on a task, determine whether it's in the 20% most important category or the 80% unimportant category.
The point is to resist the temptation to do easy tasks that do not have a high return. If you choose to start your day working on high-value tasks, you will quickly develop the habit of always starting and working on high-value tasks, so start your day by completing the most difficult tasks.
Benefits of applying the 80/20 rule
By applying the 80/20 rule, you will be able to focus on the tasks that will bring you the most benefit, and not only that, but it is also important to identify the main causes of problems and the reasons for a lack of progress as well.
Some additional benefits of using the 80/20 rule in your professional and personal lives include:
- Achieving greater productivity.
- Achieving more effective leadership.
- Increased self-confidence.
- Great and efficient use of resources.
- Gaining better problem-solving skills.
- Improving decision-making skills.
Six areas you can apply the Pareto principle to
Here are six areas where the Pareto principle can be applied:
1. The Pareto Principle of Time Management
Being busy does not necessarily mean being productive, according to the Pareto principle. Entrepreneurs, small business owners, and self-employed people often feel that they have to work long hours in order to make profits and to avoid working for others.
This kind of behavior actually leads to an imbalance between work and personal life, and it can turn into an unhealthy reality, lead to exhaustion, reduce productivity, and lead to stopping trying to achieve goals that seemed very important.
It is better to avoid this spiral and identify the tasks that fall in the 20% of the most important and that achieve the highest return, and this includes what achieves the highest return at the present time and the highest return in the future as well.
With the time you save by using the 80/20 principle, you will have more time that you can use to develop yourself, relax, exercise, take care of your mental health, and build relationships. So apply the Pareto principle to these elements and choose your most important relationships to which to devote time, energy, and activities that bring you the greatest amount of health and happiness in your personal life. Make relationships your top daily priority.
2. The Pareto Principle in Business Management
When you run a business, team, or project, chances are that 80% of the work is done by 20% of the people involved. So you can use the principles of Pareto analysis to identify your most productive workers, then assign them the most important tasks and put them in leadership positions so that they can teach others the same principles they follow.
And conduct interviews with these employees, identify the unique traits, skills, and habits that distinguish them from the rest of the employees and that lead to increasing their productivity, use this knowledge to train other employees, and then improve the productivity of the entire team.
3. The Pareto Principle in Relationships
The 80/20 rule can be applied in different ways to relationships. You can look at the relationships you have in your group of friends, for example, and identify the people in the top 20% who support you in becoming the person you want to be. This is because if you spend 80% of your free time with these people, your personal gains will be greater.
In your relationship with your partner, you can apply the Pareto Principle by realizing that 80% of marital problems are likely to be caused by only 20% of their behaviors and actions. In other words, you have to identify the root cause, or 20% of conflicts, and then come to terms with it with your partner. This method is more effective than wasting your effort on addressing the 80% of behaviors that are just small and insignificant annoyances.
4. The Pareto Principle of Goal Setting
Here's what to do in order to effectively apply the Pareto Principle to set SMART goals that will boost your overall productivity:
First, bring a piece of paper and write down ten goals. Then, ask yourself if you can achieve one of the goals on this list today and what goal will have the greatest positive impact on your life. After that, choose the second important goal, and after you finish, you will have identified the most important 20% of your goals that will bring you the best return in your life, and you must continue to work on those goals that you have chosen as the most valuable in your life.
5. The Pareto Principle in Problem Solving
Problem-solving is an essential skill. Therefore, you must be able to solve problems effectively, whether large or small, because it is a natural part of every aspect of personal and professional life.
Use these basic steps and tools when applying the Pareto principle to problem solving:
- Create a list of the problems you are facing in an area.
- Determine the cause of each of these problems, especially the root cause.
- Give a score to each problem by arranging it according to its degree of importance, and the problems that affect your progress are the most important 20% of them; they are the ones that must be solved first.
- Organize the list of problems into groups according to those that have the same causes.
- Add up the results of each group, and the group with the highest score is your highest priority.
- Start a brainstorming session to find solutions to this set of problems and take action.
6. The Pareto Principle of Sales
One of my friends is a commission specialist, one of the highest-paid experts in the USA in this field, and one of his goals was to double his income in the next three to five years. So he applied the Pareto principle to his customer base.
What he found was that 20% of his customers contributed 80% of his profits, and he found that the same amount of time he spent dealing with a high-paying customer was the same amount of time he spent dealing with a low-paying customer.
In other words, he realized that he was dividing his time evenly by the number of tasks he did when only 20% of these business operations contributed to 80% of his profits.
Therefore, he identified in his list of clients the customers who represent the top 20%, then sought the help of other experts in his field, and strategically and tactfully handed over to them the 80% of his clients as they only achieved 20% of his total commercial transactions. He then collected a profile of his most important clients and researched the market exclusively for the type of customer that fits the information in this profile.
In other words, he was looking for customers who could make an essential contribution to the profits of his company and who, in turn, could serve them with the same degree of quality that his customers were used to. Instead of it taking between three and five years to achieve his goal, he was able to double his income within the first year by applying this easy time management technique.
How do you apply the Pareto principle in any field?
You can achieve success in any area of your life by using strategic planning and applying the Pareto Principle. It starts with setting a big goal, and nothing is more capable of making you push the limits than dreaming and imagining the wonderful things that you can achieve.
As wisdom says, “You must set big goals, because only big goals can motivate you.”
When you start thinking about big dreams, your sense of self-confidence and self-esteem will immediately increase.
The reason most people accomplish so few tasks is that they don't dare imagine what kind of life they want to have. So keep your focus on what you want to achieve, believe that it is possible, learn how to make your dream a reality, and then start working.
Understand the theory of constraints
One of the effective principles that you can use to achieve your big goals and get the life you dream of is what is called the theory of constraints. It is one of the greatest intellectual achievements in contemporary history.
It has been shown that in every process and in achieving any goal, there is what can be called a bottleneck that can be considered a limitation on the process, and this limitation is the one that determines the speed at which you achieve any specific goal.
It has been found that if you focus all your creative energy and attention on minimizing the impact of limitations, you will be able to achieve your goal faster than any other effort can.
For example, suppose you want to double your income. Start by defining the constraint that hinders you. You know that your income is in exchange for the services you provide according to their quality and quantity, and whatever field you work in, if you want to double your income, you must easily double your services in terms of quality and quantity, or change the activities or profession that you practice. The new activity or profession is worth twice as much as what you used to do, but you must constantly ask yourself, “What is the main limitation that is holding me back or limiting the speed at which I can multiply my income?”
Identify the constraints that limit your productivity
Most people can identify some of the things that stand in the way of achieving goals with the time they do have, and sometimes they feel helpless, and other times they are just excuses.
So determine what is preventing you from achieving your goals—is it your level of education or your skills? Is it your profession or the job you currently hold? Or is it your current environment or health status? Or is it the situation you are currently in?
What determines your speed in achieving your goals? Remember: No matter what thoughts you already have, you can move beyond them, and no matter what situation you are in, you can get out of it.
When your goal in life is to dream of achieving great things and having the life you desire, you can set that goal as a standard and measure everything you do according to that standard.
Live without limits
To live without limits, apply three main tips: clarity, efficiency, and focus:
1. Clarify your desires, goals, and vision
Does this mean that you clearly understand who you are? And what is your goal in life? And what is your destination? In order to gain a clear vision, you can write down your goals, make plans to achieve them, define your priorities accurately, and then move towards your goal every day by doing at least one thing that pushes you forward.
The more progress you make in achieving the things that matter to you, the more you trust and believe in yourself, and then the more you believe that there are no limits to your potential and what you can achieve. Having a clear vision of your desires and your future will help you stay focused on your goals every day.
Focusing on your daily goals is actually one of the most important habits of successful people, and the reason is that people who keep their focus directed towards their goals achieve more success in life than people who do not set regular goals, and moreover, people who focus on their goals are more interested in success-achieving techniques such as the Pareto Principle.
2. Improve your competence in your key areas
This means becoming excellent in the key areas that lead to the results you want to achieve. When you apply the 80/20 rule to everything you do, focus on getting excellent in the 20% of tasks that contribute to 80% of your results.
You dedicate your effort to developing yourself and constantly learning new things. In this sense, you are making continuous progress because you realize that excellence is an ongoing goal. That is, every day you must do at least one thing that will enable you to become better in the areas that matter to you.
3. Focus on what matters most to you
Focus is having the ability to self-discipline in order to stay focused on one thing that means the most to you and to maintain that focus until you have completely completed the task. Focus has always been one of the keys to achieving success. Because it means that you know exactly what you want to become, what you want to have, and what you want to do.
Focus is also about persevering without allowing anything to distract you from the things that make a big difference in your life. Limit your ability to achieve goals, and you'll feel incredibly strong and confident.
When you focus on doing the things you want to do and become excellent in the few areas that can make a huge difference in your life, your thinking turns toward the possible rather than the impossible, and you move closer to achieving your potential and goals.
In conclusion, Follow the Pareto Principle in order to achieve success
This principle can be applied to any aspect of your life in order to achieve success, and by using it, you focus on the 20% of the elements that help you achieve 80% of success.
Remember that what stands between you and your goals is your level of confidence in your abilities and your right to get the life you want. So if you really want something, there is no limit to what you can achieve.
