Here are six tips to help you work smart and prime yourself for peak productivity:

1. Pre-Plan Your Day

If you fail to plan your work ahead, your day controls your actions—an undesirable scenario. This often involves handling others' urgent demands at the expense of neglecting your tasks. Consequently, your workload piles up, compelling you to work longer hours, leaving little to no time for relaxation or rest.

To efficiently plan your day, you'll need paper, a pen, and to employ a method known as 2+8. This method helps prioritize tasks as follows:

  • Write down the top ten tasks you need to accomplish.
  • Next, choose the most crucial two tasks.
  • The remaining eight tasks are ones you should aim to tackle. In other words, you'll exert your best effort to complete them.

It's not just work tasks; consider your life beyond work. Set a work-related goal and a personal one. For example, writing an article and exercising could be today's goals. Accomplishing these two will bring satisfaction. The remaining eight tasks might include six work-related ones and two for your personal life.

Planning takes 5-10 mins but brings more relaxation than navigating aimlessly. It keeps work out of your leisure time and boosts focus from the start of the day, especially with the list of ten tasks, which aren't overly challenging.

2. Plan Your Tasks Weekly, Not Just Daily

Traditionally, task lists were structured daily. However, this approach disregards the constant influx of new information each day, making it unrealistic to complete all listed tasks within a 24-hour timeframe. Hence, the more feasible solution is to organize tasks weekly. If certain tasks can't be accomplished on a given day, they can be flexibly shifted to subsequent days.

Without strict deadlines for everything, flexible scheduling eases pressure. Our focus hinges on factors like sleep, health, discomfort, and work or home conflicts, all significantly impacting outcomes. By easing pressure, tasks align better with your mental and emotional state.

3. Maintain Control Over Your Schedule

This tip holds immense significance. Nowadays, it's common to allow our assistants, superiors, or colleagues to dictate meeting times, often at the expense of our schedules.

At first glance, checking your calendar for daily commitments seems convenient. Yet, the issue lies in others' unawareness of your specific obligations or deadlines. Organizing your schedule offers the flexibility to accept or decline events based on your priorities.

If you truly want to work smarter, taking control of your schedule is what guides you effectively to the next step.

Work Smarter and Boost Your Productivity

4. Divide Your Time

Time division is an excellent way to take charge, providing sufficient time to accomplish your tasks. It's not about scheduling every minute of the day but dedicating two or three focused hours daily to work.

The key to this is knowing your peak focus periods. if you're most productive in the morning, allocate those hours for intensive work on your top-priority tasks. Identify these hours based on your rhythms. If your concentration peaks in the afternoon, that's when you should tackle your tasks.

While daily consistency might be challenging due to weekly meetings or client appointments coinciding with your peak times, allocating two or three days per week to concentrate on tasks can significantly enhance your productivity.

If finding personal time is tough, block out a 'personal meeting' slot on your schedule. This makes you appear unavailable to others who check your agenda. Label it as you like.

5. Use Task Management Software

Many people jot down their tasks randomly on paper or note-taking apps, making it easy to lose these lists. Instead, consider using task management software. You can choose comprehensive platforms like Todoist or Trello, or rely on phone-integrated apps like Reminders for Apple devices or Microsoft's To-Do.

Planning your day becomes effortless as you consolidate all tasks in one app, sparing you the mental clutter. As David Allen, the author of Getting Things Done: The Art of Stress-Free Productivity, famously said, “Your mind is for having ideas, not holding them.”

If you fail to organize everything in a trusted space, the burden of remembering it all falls on you, which is an impossible task. You're likely to forget something important. So, instead of relying on memory, gather your tasks in the app and allocate a few minutes to organize your collected items at the day's end.

6. Create A Workflow

If 2020 emphasizes time allocation, 2021 highlights workflow—a structured series of steps to accomplish your tasks. Take the morning routine, for instance; while it seems like waking up, making coffee, doing exercises, and journaling are mere routine tasks, they form a crucial workflow.

It means integrating this concept into your work routine: start with a two-hour focused session, handle tasks that demand concentration, manage emails and calls, add another hour of focused work, and end the day reviewing tasks for 15 minutes, planning for tomorrow.

The beauty of workflow design is its adaptability to fit your work style and specific needs. For instance, in sales, you might dedicate a two-hour session solely to communicating and engaging with clients.

Workflows create momentum toward achieving goals and finishing projects. With time, these pathways become habits. While they can be tweaked occasionally, refining them ensures optimal execution of your crucial work each time.
